AI in Project Management: Useful, Imperfect, and Costly

AI is now a standard feature in most of the tools project managers use every day. Asana has AI teammates. Monday.com has Sidekick and Vibe app builder. Notion has autonomous agents. Outlook has Copilot. Zoom summarizes your meetings the moment they end.

Most of the marketing around these features sounds similar: AI takes the administrative weight off your plate so you can focus on the real work. A lot of it actually delivers on that.

But I’ve been using these tools in real project management work, and the picture is more complicated than the product pages suggest. This post covers what the AI in these platforms does, how I use it, where it doesn’t hold up, and why I’ve become deliberate about when I run it and when I don’t.

Two Kinds of AI in PM Tools

Before getting into specific tools, there’s a distinction worth making, because it changes how you should evaluate any AI feature you come across.

Embedded AI has access to your actual project data. Tasks, owners, due dates, comments, status. When Asana’s Smart Status drafts a project update, it reads your real task completion rates and your real risk flags. It’s working from context, not generating generic output from a blank prompt. This is where the real value is, because the AI knows your project.

Bolt-on AI is a general-purpose assistant dropped into an interface. It can help you write and summarize text you paste in, but it doesn’t know anything about your project unless you tell it. A lot of what gets marketed as AI falls here. Knowing which category you’re looking at saves a lot of disappointment.

The Tools

Asana

Asana’s AI sits on top of real structured project data, which gives it an advantage over most competitors. It knows what’s complete, what’s overdue, who owns what, and where dependencies are blocked. That context is what makes the AI output actually usable.

The features I find worth using:

  • Smart Status drafts your project status updates from actual project data. The draft still needs editing, but the starting point is grounded in what’s actually happening on the project, not what an AI imagines a status update should say.
  • Smart Summaries compress a task’s comment history into a short read. Useful when you’ve been away from a task and need to catch up without scrolling through 40 comments.
  • Smart Fields suggest values for custom fields based on task content. Keeps your data cleaner with less manual entry.
  • AI Studio lets you build custom automation rules with AI logic. More advanced, but for PMs with repeatable workflows, this is where the real time savings compound.

Asana also launched AI Teammates in early 2026, bots that handle and discuss tasks similarly to a team member. The idea is significant. I’d treat it as early-stage and watch how it performs across different project types before building workflows around it.

One thing the Asana marketing doesn’t lead with: the most useful AI features are gated to Advanced and Enterprise tiers. Build that into your cost calculation before you commit.

You can use Asana’s AI for drafting status updates and keeping task fields clean. Make sure to review every output before you send it to your stakeholders, though. That’s the rule I’ve set for myself, and I haven’t found a reason to change it.

Monday.com

Monday.com has made aggressive AI moves over the past two years. They rebranded their positioning from a work management platform to, in their words, a platform that does the work. Sidekick is the central product of that shift.

What stands out about Monday’s AI is that Sidekick can pull information across multiple boards simultaneously. Most AI in project management tools is board-local; it only knows what’s on the board you’re currently on. For PMs running multiple projects at once, cross-board visibility is a real differentiator.

Features worth knowing:

  • Monday Magic is AI-assisted content generation built throughout the platform. Task descriptions, update summaries, automation suggestions. It’s the feature most Monday users encounter first.
  • AI Blocks sit inside the Workflow Builder and Automations. These are intelligent automation rules that adapt to real-time conditions rather than following fixed logic.
  • Notetaker joins your Zoom, Teams, or Google Meet calls, transcribes them, and pushes action items directly into your Monday boards. If you’re already a Monday user and want meeting-to-task automation, start here.

One thing to flag: Monday’s AI pricing moved to a credit-based model, and Sidekick’s more powerful capabilities are Enterprise-only. If you’re evaluating what the AI actually does versus what the free tier includes, read the pricing page carefully before you get excited about a demo.

Notion

Notion started as a knowledge management and documentation tool and built project management on top of that foundation. Its AI followed the same path. What began as a writing assistant has become something much more capable.

The standout feature for your workflow is meeting notes integration. Notion’s AI Meeting Notes captures and transcribes meetings from Zoom, Google Meet, or Teams, then generates summaries, key decisions, and next steps. You can use those notes as input for other workflows, including the automation that pushes tasks into Asana.

Other capabilities worth knowing:

  • Workspace Q&A lets you ask questions across all your Notion content. Something like ‘What did we decide about the vendor selection last month?’ returns a synthesized answer with source links. For PMs who store project files, charter documents, and status history in Notion, this saves real time.
  • Database Autofill automatically populates properties like priority, category, or status tags based on page content. It keeps your tracker clean without manual entry.
  • Notion Agents can execute multi-step tasks autonomously. Building project pages, populating templates, reorganizing databases. It’s still maturing, but the capability is legit.

Notion AI’s advantage is context. It knows your internal data, your project databases, and your meeting history. A general-purpose AI tool can’t access any of that.

Notion AI is an add-on at $8 per member per month. For teams using it as a company wiki and project system, that cost is usually worth it. For individuals using it lightly, check whether you’re actually using the AI features before you commit to the add-on.

Microsoft Outlook (Copilot)

If your organization runs on Microsoft 365 like mine does, then Copilot in Outlook is probably the AI you encounter most – whether you asked for it or not. As of early 2026, Microsoft made email summarization available to users without a full Copilot license, so many people are using it without having made a deliberate choice to.

What it does:

  • Thread summarization compresses long email chains into a short overview. Most useful when you’ve been out of an inbox for a few days and need to get up to speed quickly.
  • Draft generation writes email replies from a prompt you give it. The quality tracks your prompt quality. Vague input produces vague output.
  • Meeting prep pulls together relevant emails, documents, and calendar context ahead of a meeting. Saves the scramble to find the last status update before a call.
  • Calendar awareness helps Copilot suggest scheduling and protect time for focused work. More useful for personal productivity than project coordination.

Copilot’s real advantage is its integration across Microsoft 365. It can pull from SharePoint files, Teams conversations, and calendar events in one response. If your organization already pays for Microsoft 365, the incremental cost for some Copilot features is lower than adding a separate tool.

My honest read: Copilot in Outlook is a communication tool. It helps you manage email faster. It’s not going to manage your projects. Don’t go in expecting otherwise.

Zoom AI Companion

Zoom’s AI Companion is the most immediately practical AI in most PMs’ daily work, for a straightforward reason. Meeting transcription and summarization works, and it’s included with paid Zoom plans. No separate subscription.

AI Companion 3.0, released in December 2025, added agentic capabilities. It can now find information across past meeting summaries, transcripts, and notes, and automate post-meeting follow-up without being prompted. The Post Meeting Follow Up template is worth testing. It drafts follow-up tasks and emails from the meeting content automatically.

Core features:

  • Meeting Summary generates a post-meeting summary with discussion points, decisions, and action items within minutes of the call ending.
  • Smart Recordings break meeting recordings into chapters based on topic changes. On a 90-minute call, you can jump directly to the section you need rather than scrubbing through the whole recording.
  • In-Meeting Questions let participants ask questions about the current discussion in real time. Useful when someone joins late and needs to get caught up.
  • My Notes captures and organizes notes across Zoom and in-person meetings as a personal AI note-taking layer.

One real limitation: AI Companion only works in Zoom. If your organization uses Teams or Google Meet for some calls, the AI doesn’t carry over. It’s a Zoom product, not a meeting intelligence layer across your whole stack.

This is the AI tool I use most consistently. The summaries are good. Though they’re also not always 100%. I check every action item against what I know was said in the meeting. 

Taskade

Taskade belongs on this list because it takes a different approach than everything above. The other tools added AI features to an existing project management platform. Taskade rebuilt around AI from the start. The agents are the product.

In Taskade, you can build custom AI agents with specific instructions, persistent memory, and defined roles. These agents can be assigned work, chain together in multi-step workflows, run on schedules, and connect to over 700 integrations. In 2024 alone, the platform processed over 112 billion AI tokens. This is production-level use.

For project managers, the most relevant capabilities:

  • Task agents can intake requests, break down a project brief into tasks, assign priorities, and generate timelines from a plain-language description.
  • Meeting-to-task automation processes transcripts and turns them into structured tasks with owners and deadlines.
  • Multi-view management across list, board, mind map, Gantt, and calendar, with AI able to operate across all views.

Pricing is significantly lower than Asana or Monday. For smaller teams or individual PMs who want real AI capability without enterprise pricing, that is huge.

The honest limitation: Taskade is less mature as a project management platform. If you need things like complex resource management, enterprise permissions or deep reporting, you’ll hit its ceiling quickly. If you’re willing to invest time setting up custom agents, the ceiling is higher than most comparable tools.

How I Actually Use All of This

I use AI in my project work. I use it across several of the tools above. Meeting transcription, workspace search, status update drafts. I find real value in specific, targeted use.

But I’ve become deliberate about when I run it. Part of that is professional. AI hallucinates – that’s a known fact. It produces confident, specific output that is sometimes wrong. An incorrect action item in a stakeholder update creates real problems. So, I verify every output, every time.

The other part is the environmental cost and it is less discussed in most AI tool coverage.

In my video, I discussed the following numbers, and they influence how I use AI and how often I use it:

• Global data centers consumed 448 trillion watt-hours of electricity in 2025 – more than all but 10 countries on Earth

• That power produced approximately 208 million tons of CO₂ – the same annual footprint as Argentina

• AI-related water consumption is projected to hit 9.3 trillion liters by 2030 – annual domestic water needs of 1.3 billion people

• E-waste from AI hardware is projected to reach 2.5 million metric tons by end of decade – 250 Eiffel Towers worth of discarded hardware per year

• The UN found: cut your AI query length by 30%, and energy consumption drops by 25%

These costs are already showing up in consumer hardware. The price of phones, tablets, and computers is being pushed up by data center demand on memory and computing components. 

None of this means stop. It means stop and think. I don’t run AI on meetings where my own notes are sufficient. I don’t generate AI drafts for emails I can write in five minutes. I don’t set up automations for the sake of having automations.

I use it like a precision tool. For the tasks where it saves real time, produces output I can check, and the tradeoff holds up.

That’s the approach I’d recommend. Figure out which features actually earn their keep in your specific work. Verify the output. Know what it costs.
